CAPTAINS MEETING MINUTES

3 PM JANUARY 17, 2019

HARBOUR HEIGHTS CIVIC CENTER

 

Ramona welcomed everyone and the meeting was called to order with 63 members in attendance.  Board members present were President Ramona Elden, 1st Vice President Tammy Topp, 2nd Vice President Sally Wright, Treasurer Cathy Hysell and Secretary Carolyn Farrar.

 

Secretary:  Carolyn Farrar made a motion to accept the Minutes of the October  23, 2018 Captains’ Meeting as distributed and posted on the website.  The motion was seconded by Jan Parker (La Casa) and was approved.

 

Treasurer:  Treasurer, Cathy Hysell, gave a brief Treasurer Report:

 

Balance 1/17/2019:  $9,500

Expenses for 2019 Spring Luncheon:

  • Bar Expenses – approximately $1,200
  • Food Expenses – approximately $8,700
  • Decorations - $1,000

 

The League will subsidize the lunches at $2 per person, and the cost to attendees will be $12 per person.

 

Ramona said that she has met with ladies from La Casa and given them information for contacting the Punta Gorda Event Center and discussed all the items necessary to prepare for the March 25, 2019 Luncheon.

 

Responsibilities of Board Members:  Ramona gave a brief description of the responsibilities of the 50+ Board members:

 

  • President:  Ramona oversees all of the functions of the board and makes sure it all runs smoothly.

 

  • 1st Vice President:  Tammy is responsible for the Standings Committee, and she will be sending out e-mail in late January asking teams to submit a Team Placement form requesting to stay at their current division, or to be moved up or down next season.   Please complete the Team Placement Request Form (found under “FORMS” tab on website) and return by March 1st.  Tammy will also be asking for volunteers from each division to participate in the Standings Committee meeting on March 23rd.

 

Ramona said some clubs do re-assessments of their teams by having pros review players and recommend the divisions where they should be playing.   Ramona said that Maple Leaf had done a “Reassessment” a year or so ago, and Riverwood will be doing an reassessment February 1st by their Pro.

Responsibilities of Board Members (Continued):

 

  • 2nd Vice President:  Sally Wright is Chairman of the Grievance Committee

 

Sally handles any rule clarifications and issues between teams.  If there are issues between teams, they should be submitted to Sally.  Sally can usually resolve most issues and questions, but sometimes, the issue will have to go to her Grievance Committee to be resolved.

 

Sally is retiring after ten years of service as 2nd Vice President, and Chairman of the Grievance Committee.  The Board has one volunteer to take the job but if anyone else is interested in taking this position, please contact any one of the board members.  Sally will resign as 2nd Vice President after the 2019 Luncheon, but will continue to be the League’s “Personal Shopper” for our Annual Luncheon Door Prizes.

 

  • Secretary:  Carolyn Farrar takes the Minutes of the meetings and distributes to members.  She also manages the website, so if you have difficulty navigating the website, or have requests to add or delete players, or if you have problems with reporting your scores, send an e-mail to carolyntennis7535@gmail.com

 

  • Treasurer:  Cathy Hysell handles our finances and when adding players to your teams, complete the Player Add form and send a check for the $15 registration fee to Cathy.  Her mail address is on the bottom of the Player Add form.  You can also contact Cathy for our account number at Wells Fargo and deposit the registration fee directly into our account.  Take a picture of the deposit receipt and e-mail it to Cathy.

 

By-Laws:   Ramona said that the Board did not rewrite the By-Laws last year as planned, but it will be done this year.

 

Snow Bird Rule:  Ramona said that there have been many calls from teams wanting to do make-up matches at the beginning of the season, and some feel that advantage is being taken of the Snow Bird Rule in order for teams to wait for their better players to arrive.

 

It has been suggested to start the season later and end later.  We must play 21 weeks each season.

 

There was a great deal of discussion on this issue, and Canadian players said that to start one week later and end one week later would be a huge advantage for them weather-wise. 

 

It was pointed out that Club members do not have to own a home here, but can be renters.

 

Darla Pearson made the motion that our schedule of play begin the first week in November and go through March with no make-up matches.  Matches will not be scheduled for the Fridays after Thanksgiving and Christmas.   Mary Amos seconded the motion.  Motion passed.

Rule Change for Forfeits:  Sally discussed our current rule regarding teams who forfeit all three courts, and how in many cases, such as the 2.5 Division teams, forfeits cannot be avoided, but the teams receive very stiff penalties. 

 

Sally made a motion to change the Forfeit Rule to read:  “If a team forfeits all three positions in a match, the Board will review the matter and decide if any penalties will be assessed.”  Darla Pearson seconded the motion.  The motion was approved.

 

Practice Courts for Visiting Teams:  After a brief discussion about opponents using courts to hit practice balls, it was agreed that if the courts are available we should offer them to the opponents.

 

Higher Level Players in Lower Divisions:  It was suggested that if a team has a 4.5 player, she should be paired with a 3.5 partner for matches.  After discussion, it was pointed out that the 50+ League does not rate their players, but there are some 4.5 players in the League.  Ramona said that the Charlotte County League is actively working on how best to cope with this situation, and she suggested that instead of the 50+ League taking on the same project, we should wait and see what Charlotte County determines the best way to address the situation.  CCWTL President, Debby Flate will keep us informed.

 

Spectator Conduct:  There was discussion about spectators behaving disrespectfully at matches by walking and pacing at edge of the court and talking loudly.  We don’t have a lot of control over this behavior, but captains should ask spectators to be quiet and not walk around while matches are in progress.

 

Next Year’s Schedule:  The schedule will be completed again this year by Frank, who is a contractor working with the Tennis Score website.  This year we are going to ask him to provide the reports in a different format, so the entering of start times is less complex.

 

The meeting was adjourned at 4pm, and everyone was invited to stay for the social hour.
